Privacy Policy

1. Information We Collect

We collect the following types of information when you use Keywise:

  • Account information: your name, email address, and password when you create an account.
  • Property information: addresses, unit details, lease terms, and rent amounts you enter into the platform.
  • Tenant information: tenant names, email addresses, phone numbers, and lease data you provide.
  • Payment data: bank account and payment method information processed through Stripe. Keywise does not store raw payment card or bank account numbers — these are handled directly by Stripe.
  • Usage data: log data, browser type, IP address, and how you interact with the platform.
  • Documents: lease agreements and other files you upload for processing.
  • SMS consent records: the timestamp, source, IP address, and device information of every opt-in or opt-out event tied to a phone number we send messages to.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and improve the Keywise platform
  • Process rent payments and send payment notifications
  • Send transactional email and SMS notifications you've consented to receive (rent reminders, invite links, receipts, lease updates)
  • Analyze lease documents using AI to auto-fill lease data
  • Respond to support requests
  • Comply with legal obligations

We do not sell your personal information to third parties.

Keywise integrates with the following third-party providers to deliver the service. Each has its own privacy policy:

4. Data Security

We take reasonable measures to protect your data:

  • All data is transmitted over HTTPS/TLS
  • Passwords are hashed and never stored in plain text
  • Access to production databases is restricted and audited
  • File uploads are stored in private, access-controlled cloud storage

No system is 100% secure. If you believe your account has been compromised, contact us immediately at privacy@keywise.app.

5. SMS Communications

When a landlord adds you as a tenant on Keywise, they have the option to enable SMS notifications to your phone number. We send SMS only when both of the following are true:

  • The landlord has confirmed in writing that you consented to receive text messages from them through Keywise, or you have opted in directly through the tenant portal; and
  • You have not subsequently opted out by replying STOP.

Types of messages we send. Transactional only — rent reminders, payment receipts, lease invitations, maintenance updates, and direct messages from your landlord. We do not send marketing messages by SMS.

Frequency. Message frequency varies and depends on your lease activity. Typical volume is one to four messages per month.

Cost. Standard message and data rates from your carrier may apply. Keywise does not charge for SMS.

Stopping messages. You can stop receiving SMS at any time by replying STOP, UNSUBSCRIBE, CANCEL, QUIT, or END to any message. We will mark your number as opted out within seconds and will not send further SMS to that number unless you opt back in. Reply START or UNSTOP to resume.

Help. Reply HELP to any message for support contact information, or email us at privacy@keywise.app.

Data sharing. We share your phone number with Twilio for the sole purpose of delivering the SMS you've consented to receive. We do not sell your phone number, and we do not share it with third parties for their own marketing purposes.

Audit log. We keep a record of when consent was captured, the channel through which it was captured (landlord-confirmed, tenant portal, or inbound text), and any opt-out events. You may request a copy of your own consent record at privacy@keywise.app.

6. Data Retention

We retain your data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us. Some data may be retained as required by law or for legitimate business purposes (e.g., payment records).

7. Your Rights

Depending on your location, you may have the right to access, correct, or delete your personal data. To exercise any of these rights, contact us at privacy@keywise.app.

8. Changes to This Policy

We may update this policy from time to time. We'll notify you of material changes via email or an in-app notice. Continued use of Keywise after changes constitutes acceptance of the updated policy.
