A thorough move-in inspection is the single best thing you can do to protect both yourself and your tenant. It establishes the baseline condition of the property, documents what was already broken, and prevents the dreaded security deposit dispute when the tenant moves out.

Why move-in inspections matter

Without a documented move-in inspection, you have no defensible record of what the property looked like before the tenant lived in it. If a wall has a hole when they leave, did the tenant make it? Or was it there when they moved in? A simple checklist with photos answers that question definitively.

Most security deposit disputes can be avoided entirely by doing a proper inspection on day one. Both you and your tenant should walk through the property together, document everything, and sign off on the final checklist. That signed document is gold if a disagreement ever arises.

Tips for a great inspection

Take photos of everything. Even items in perfect condition. Photos are worth more than written notes when it's time to compare against move-out condition. Time-stamp them.

Walk through with the tenant. Don't do the inspection alone, then hand them a sheet. Walk through together so they can see what you're noting and add anything you missed.

Get a signature. Both parties sign and date the completed checklist. Each gets a copy. If it ever comes to a dispute, this signed document is the strongest evidence you can have.
